At Neptune, we want to give AI researchers the same level of control and confidence when training models as software developers have when shipping applications. Our solution is an experiment tracker built for teams that train foundational models. We’re one of the most recognizable tools in the MLOps industry, with over 60k AI researchers using the platform and 200k+ AI practitioners visiting our blog monthly.
We are currently seeking a part-time Event Manager to support our team in strengthening our position as a recognized leader in the industry while also organizing memorable internal events that foster connection and engagement among our team members.
- Coordinate preparations for conferences in these areas:
- SWAG & Marketing Materials: Oversee the production, delivery, and distribution of promotional items and marketing materials.
- Logistics Coordination: Manage participant travel arrangements and assist with visa processes when necessary.
- Participant Communication: Provide updates, respond to individual needs, and coordinate special requests with stakeholders.
- On-Site Support & Problem-Solving: Attend events when needed to oversee operations, address issues, and ensure a seamless experience.
- Plan and organize company integration events twice a year to strengthen team bonds and promote a sense of community. This includes:
- Planning and Coordination: Researching and organizing venues, activities, and participant travel, including visa arrangements.
- Logistics and Support: Managing SWAG, equipment rentals, vendor coordination, and serving as the on-site organizer while addressing unforeseen travel issues.
- Budgeting: Preparing budgets, processing invoices, and managing expenses.
- Analysis: Conducting post-event surveys and analyzing results to identify areas for improvement.
- Previous experience coordinating or managing similar events from an operational perspective (especially conferences, fairs, trade shows, etc.).
- A “doer” attitude – no task is too small or too big for you to tackle.
- The ability to handle tight deadlines and adapt to last-minute changes.
- A passion for overcoming challenges – obstacles energize and motivate you.
- A sharp eye for detail, with the ability to work accurately, proactively, and autonomously.
- The flexibility and availability to travel to conferences, regardless of location (USA? Singapore? Who knows!).
- Familiarity with tools like Slack and Notion, which we use at Neptune.
- Flexibility: Enjoy remote work with flexible hours, but note that this position requires occasional visits to our office in Warsaw.
- Contract: B2B contract with an hourly rate (averaging around 250 hours quarterly).
