Join our team in Krakow as Workplace Operations Manager 80%, where you’ll be the driving force behind smooth office operations and an outstanding employee experience. Your Responsibilities
Office Operations:
- Acts as the first point of contact for all office related questions for Krakow.
- Maintain the Krakow office in an impeccable condition, ensuring cleanliness and organization at all times.
- Order, manage and track office operational costs (rent, office supplies, food, office equipment and stationery).
- Manage inventory of IT supplies and equipment in coordination with the IT department.
- Responsible for the mail distribution and collection of registered letters.
- Cooperate with Polish leaders ensuring alignment with local needs and priorities.
- Assisting with the collection of signatures for important and time sensitive documents.
- Answering the Beekeeper mainline and directing calls internally as required.
- Manage office cleaning, security services, repairs, and maintenance, liaising with landlords, technicians, and other stakeholders.
- Administer office keys and access, and oversee visitor registrations.
- Provide guidance on the company’s travel booking tool and support travel arrangements for employees, visitors, and candidates.
- Update, maintain office policies & procedures as necessary.
- Support the implementation of Work-from-Home guidelines and processes.
- Back-up for HR Manager during the absence of colleagues.
Office Culture and Employee Engagement:
- Plan, organize, and moderate in-person and remote events in collaboration with your Global Workplace Team, managing every stage from ideation to execution.
- Coordinate and oversee internal and external learning sessions, including speaker planning, event execution, and post-event communications.
- Maintain and manage the inventory and distribution of new hire swag, ensuring timely delivery.
- Innovate and implement creative initiatives to enhance employee happiness and engagement.
- Serve as a key liaison for the Poland team, ensuring local perspectives are integrated into the broader company culture.
What we look for in you
- A minimum of 3+ years of relevant work experience in an international office or hospitality environment
- Flexible and adaptable, with the ability to support occasional after-hours events
- Fluent in Polish, with advanced English writing and speaking skills
- Open to feedback with a growth mindset
- A creative problem solver with a growth mindset, ready to improve processes and take ownership
- Strong communication skills, both verbal and written, with the ability to effectively engage diverse audiences
- Exceptional organizational and multitasking skills with a strong sense of responsibility
- Adaptable to changing requirements and ready to roll up your sleeves to get the job done
- Very open, positive and engaging personality
- Proficiency in Google Docs, Google Sheets and familiarity with email scheduling tools
